Prince William Community Band

Music Folder Policy

The Prince William Community Band Board has set the following policies:

1.      All regularly attending members will be assigned a music folder.

You are encouraged to practice outside of rehearsals, and individually assigned folders facilitate this effort.

2.      New members will not be assigned a music folder until all of the following conditions are met:

·        Attend three rehearsals;

·        Complete a personnel sheet;

·        Pay membership dues per the Bylaws.

This policy gives the Librarian time to obtain music for the new folder.  Additionally, it reduces the amount of music lost in the event you do not return, and gives you time to decide if participation in the band is right for you.  You can read from a regular member’s folder until you receive your own.  The Librarian may provide copies of selected pieces (with or without a folder) to you for practice at home during this interim period, if you so request.  The personnel sheet enables us to contact you in the event you stop attending.

3.      All music folders must be available at all rehearsals and concerts, unless an illness or emergency prevents a member from attending the rehearsal or concert.

All folders must be available to the Librarian.  Inadequate coverage of parts due to folders being at home reduces the effectiveness of rehearsals and concert performances.  If you know you will miss the next rehearsal or concert, you are expected to place your folder in the storage box after the rehearsal, or make arrangements to have your folder returned.  The only exception to this policy is if an illness or emergency prevents you from attending the rehearsal or concert.

4.      Music folders must be available for turn-in after each concert, unless otherwise directed.

Music is often collected after a concert and distributed at the next rehearsal.  This is to ensure the music inventory within the folder is up-to-date, and to identify missing folders.  Since not all members are able to attend all concerts, having your folder in the folder box will enable someone in your section to update your folder’s music inventory.

5.      Absences of more than four consecutive weeks may result in music folders being reassigned if needed, unless the Librarian has been notified otherwise.
